2. What data we collect
When you complete an enquiry form on this site, we collect the information you provide, which may include:
- Your full name;
- Your email address;
- Your phone number;
- Your postcode;
- Details of your current heating system and property; and
- Any additional information you choose to include in your message.
We do not ask for special category data or payment details through this website.
3. How we use your data, and our lawful basis
We use the information you provide to:
- Respond to your enquiry and contact you by phone and email about a heat pump installation and your Boiler Upgrade Scheme eligibility;
- Arrange and carry out a home survey and, if you proceed, your installation;
- Administer the Boiler Upgrade Scheme grant application on your behalf; and
- Keep records required for the scheme and for our legal and accounting obligations.
Our lawful bases under the UK GDPR are your consent (given when you submit an enquiry and agree to us contacting you), the performance of a contract where you go on to book an installation, and our legitimate interests in responding to enquiries and running our business. You can withdraw your consent to be contacted at any time — see section 8.
4. Who we share your data with
We only share your personal data where it is necessary to respond to your enquiry or deliver your installation. This may include:
- Our accredited installation partner, so your installation can be certified under the Microgeneration Certification Scheme (MCS) and your grant applied;
- The administrators of the Boiler Upgrade Scheme, as part of processing your grant;
- Trusted service providers who help us operate — including the customer-relationship platform that receives and stores enquiry-form submissions on our behalf; and
- Professional advisers, or authorities, where we are required to do so by law.
We do not sell your personal data, and we do not share it for third-party marketing.
5. Marketing and phone contact (PECR)
Because you have asked us to look into your enquiry, we will contact you by phone and email about that enquiry. We will not add you to unrelated marketing. If you are registered with the Telephone Preference Service (TPS), we will still contact you about the specific enquiry you submitted, as you have consented to this; we will not make unrelated marketing calls to TPS-registered numbers.
6. How long we keep your data
We keep enquiry data only for as long as needed to respond to you and, where you proceed, to deliver and support your installation and meet grant, warranty and legal record-keeping requirements. Where you do not proceed, we delete or anonymise your enquiry data once it is no longer needed.
7. How we protect your data
We use appropriate technical and organisational measures to keep your data secure and to prevent unauthorised access, loss or misuse. Enquiry-form data is transmitted over an encrypted connection to our customer-relationship platform.
8. Your rights
Under the UK GDPR you have the right to access the personal data we hold about you, to have it corrected or erased, to restrict or object to our processing, to data portability, and to withdraw consent at any time. To exercise any of these rights, contact us at info@sailax.co.uk.
